For all methods, please provide the following information with your order:

• Name, title, email and phone number of primary contact (for schools)
• Shipping Address
• Billing Address (include contact name and phone number if different from above)
• Item number, description, quantity and price for each item ordered
• Subtotal plus 9% shipping and handling (for standard domestic shipments via UPS; contact Heartwood for overnight or international shipments)
• Add 6% sales tax for PA individuals and for-profit companies or provide a copy of your sales tax exemption certificate.

Purchase Order
Heartwood accepts purchase orders from schools, school districts/systems, and other educational institutions. We do not accept purchase orders from individuals. We invoice at the time of shipment with payment due upon receipt. Mail or fax your purchase order. Here are a couple of approaches you can use:

• Use our Shopping Cart feature.
  • Select products from the Products & Services drop down menu and add them to your shopping cart.
  • When you are ready to check out, make sure Pay by Purchase Order is selected as the payment method - this is the default setting. 
  • You will then be prompted for shipping and contact information.
  • Next, a completed order form will be displayed with instructions. Print the order form and give it to your purchasing agent to generate your purchase order.
  • Mail or fax the Purchase Order as indicated in the instructions. An order confirmation email will be sent to the contact email address and we will be on the lookout for your Purchase Order.
• Use our Purchase Order Worksheet
  • Under the Products & Services tab on our web site, select and print the Purchase Order Worksheet. Heartwood products are listed with their current prices. (Discontinued items are not included on this worksheet but can be added).
  • Complete the Purchase Order Worksheet and give it to your purchasing agent.
  • Mail or fax the Purchase Order as indicated in the instructions.

Check or Money Order
Individuals can purchase products from Heartwood by sending a money order or check with their order. And of course, schools can prepay as well.

• Use our Shopping Cart feature.
  • Select products from the Products & Services drop down menu and add them to your shopping cart.
  • When you are ready to check out, make sure Check or Money Order is selected as the payment method. 
  • You will then be prompted for shipping and contact information.
  • Next, a completed order form will be displayed with instructions. Print the order form and mail it with your check or money order.
  • An order confirmation email will be sent to the email address provided in the contact information. However, the order will not be processed until your payment is received.

Credit Card
Individuals or schools can order products from Heartwood using a major credit card (VISA, MasterCard, American Express, Discover). Heartwood uses PayPal for safe and secure credit card processing. A PayPal account is not required, but processing is simpler if you already have one. Please note, PayPal imposes a maximum $10,000 limit per transaction.

• Use our Shopping Cart feature.
  • Select products from the Products & Services drop down menu and add them to your shopping cart.
  • When you are ready to check out, make sure the Credit Card option is selected as the payment method. 
  • You will then be prompted for shipping and contact information.
  • A completed order receipt will be displayed with instructions. Print the order receipt and retain for your records. An order confirmation email will be sent to the email address provided in the contact information.
  • Select the PayPal button at the bottom of the Order Receipt screen. You will be transferred to PayPal’s secure site for credit card processing.
  • Select the non-PayPal account option or login to your PayPal account.
  • If you have selected the non-PayPal account option, you will be requested to enter your credit card and address information.
  • After payment processing is completed, PayPal will automatically send a payment confirmation email to you and Heartwood.
  • When your order ships, a shipment notification email will be sent and will include the expected delivery date.
